Planning

  • Prefer to fly in the morning, or want a hotel that has free parking, or need a 6-passenger SUV to carry your team and all of your gear? Just tell Smooth-AI what your preferences are, and our intelligent agent will find them for you.

    Smooth-AI can remember your preferences for everything from not wanting to travel on weekends to the type of hotel room you like best, and will apply those preferences to all of your trips going forward. You can even specify which exact hotel you want to stay at each time you go to a that city, and Smooth-AI will put that hotel at the top of the list for you.

  • You may start your travel planning with either flights, hotels or rental cars, and then proceed to book the others afterwards. Smooth-AI will automatically line up the dates and times of all three, or alert you if changes are required to make your trip run smoothly.

  • When your travel plans are flexible, and you want to find the best flights or hotels within a range of dates, just tell Smooth-AI the date range, or tell Smooth-AI your preferred date and the number of days before and after your preferred date that you want options for, and Smooth-AI will present them to you in a single result. No need to go back and forth changing the date one day and a time to see if there is a better option for you.

  • Smooth-AI keeps track of your flight arrival and departure times and dates, and will alert you if changes are needed to hotel check-ins and check-outs or rental car pick-up and drop-off times or dates.

Compliance

  • Smooth-AI’s intelligent agent scans even the most complex multi-city travel plans and checks for any discrepancies to company travel policy before sending the employee’s travel request out for approval. Smooth-AI saves both the employee’s time and their manager’s time by eliminating the back-and-forth approval process that was required in the past.

  • If Smooth-AI does find a compliance discrepancy in a travel request, our intelligent agent gives the employee a detailed, plain-language reason for the discrepancy - allowing the employee to quickly and accurately make the change needed to their itinerary.

  • Any employee wishing to check on travel policy rules can simply ask Smooth-AI about it in plain, conversational language. For example, they might ask: “What is the per-diem rate for Seattle during August, 2026?”. Smooth-AI will look up the hotel and M&IE rates for them, and offer to show them an example trip.

  • If the company has set different rules for specific projects, like long-term stays at a client site that require a higher M&IE rate, or travel to a convention where special transportation needs would exceed the baseline policy limits, Smooth-AI will automatically take the project limits into account when checking the travel plans of employees assigned to that project.

Approval

  • When an employee creates their travel request, Smooth-AI checks it for policy compliance, then automatically sends it to the appropriate persons for approval. The employee does not need to copy and paste their itinerary to an email and send it themselves.

  • Smooth-AI routes the employee travel request based on its knowledge of the employees level in the organization, and on the travel policy rules that are triggered by the specific itinerary details. If the policy requires multiple levels of approval for an item in the itinerary, Smooth-AI will route the request through the approval hierarchy until it is approved, or sent back for changes or justification requirements by any of the approvers in the chain.

  • In addition to sending approval request via email, Smooth-AI can integrate with Communications and Collaboration platforms like Slack to speed up the approval process.

  • Have a tentative travel plan that you will need to act on at the last minute and can’t wait for the usual approval process? Or, do you have recurring trips that you want to get approvals for in advance? Smooth-AI allows you to configure a trip, with all details set, for pre-approval.
